Our Privacy Policy explains what we do with your data, and our Terms of Service what you agree to when you use Turnover.
Day to day
How do I create a job?
Go to Jobs → Add Job:
- Enter the basic job details: production name, company, and your position.
- Set the contract rate and choose the interval — per hour or per day. The processor adjusts for workday hours automatically.
- Choose if you’re invoicing from your own company or getting a salary from the employer. If invoicing, set your social cost percentage.
- Select a processor to calculate your work hours into a fee. See Which processors can I choose on a job?
If your production uses Turnover, they’ll add the job for you — just check if its according to contract. Once the first first workday is approved, the contract can not change.
If a production has several jobs with the same department and job title, an Attribute can be set to tell them apart — it's just a free-text differentiator and has no effect on pay.
How do I set default job data?
You can set your default job data as department, job title, invoicing and social costs from Settings → Preferences.
Note: You can only choose between departments and job titles that already exists as a presets in Turnover. If you feel that your position has been left out, send us an email, so we can add it for you.
How do I clock in/out?
You can clock in/out in 3 ways:
- Dashboard / Jobs — Click the status icon, clocked in times on a job entry or Clock in / out.
- Jobs → Add Days — to add multiple days at once (limited input options available). See How do I add multiple days at once?
- Jobs → CSV Import — to upload entries in bulk. Contact support for an example file.
If you only want to clock in, leave the clock out time blank.
A per diem is not clocked — it has no times, only the meals you had — so it is added from the Per diem button instead, a week at a time. See How do I claim a per diem?
See: Overrides and Default overrides.
Can production admins clock for me?
Yes, if you allow it. Open a production job and click Allow under Admin clocking. The production may also have turned it on when they created the job for you. While it is on, the production's admins can:
- See your days that are not sent yet.
- Clock in and out, and add and edit days for you.
- Send, revoke and delete days for you.
Private comments and moving or copying days to another job stay with you.
Click Stop allowing to take it back. Days they already added or sent for you stay as they are.
How do I add multiple days at once?
Open the job and click Add days:
- Fill in the first row — date, clock in and clock out.
- Click Add 1 day or Add 5 days. Each new row continues from the one above it: the next date, with the same times.
- Correct any row that differs, or remove it with the red button.
- Save, and the days are added to the job.
Fill in the first row before adding more — the rows that follow copy it, and there is nothing to copy from an empty one.
The dates run one day after another, weekends included, so remove the days you did not work.
If the job has default overrides, the form lists them at the top and every day added here gets them.
What you cannot do here is set an override on a single day — the form takes dates, times and a comment, nothing else. Add the days first, then open the day you need to change and set the override on it.
See also How do I clock in/out? and Import days from a CSV file.
How do I import days?
Download and open this CSV example or this Excel example , in Excel (or another spreadsheet tool). If your file contains columns that Turnover doesn’t recognize, they will simply be ignored during import. Then upload it on the Job page in Turnover.
During import, you will be sent to a pre-filled Add days view to review the data before saving. Because of this, the following limitations apply:
- Days longer than 24 hours cannot be imported correctly.
- Only Date, In, Out, and Public comment will be imported. Overrides are currently not supported.
- You may add comment lines to the file, provided that each line contains the same number of semicolons and does not start with JobEntry or entry.
How do I claim a per diem?
A per diem is a day's meal allowance. It is claimed on the job it belongs to, from the Per diem button — the same row as Clock in and Add days.
No button? Then the production has not set up any rate set for you to claim under, and a per diem could not be paid.
A per diem is always automatically sent to the production upon creation.
A week at a time
- Pick a day under Week of. Any day will do — the grid always opens on the whole Monday to Sunday it falls in.
- Pick the rate set the week is claimed under — where the days were spent. A single day can be moved onto a different one on its own row.
- Tick the meals you had, day by day. The checkbox in a column heading ticks that meal on every day at once.
- Save. Each day you ticked becomes one per diem on the job.
The grid totals each day as you go, and the week underneath it, so you can check the figure before you save.
Changing one
Open the week it belongs to and change it there — a per diem is a day of a stretch, so the week is where it is read and corrected. Untick every meal on a day and that day's per diem is removed when you save.
Days already claimed come back ticked. A day you can no longer change — because it has been approved, or because it carries more than one open claim — still appears, greyed out, so the week reads as what was actually claimed rather than going quiet about it. To correct a day like that, ask whoever approves your per diems.
One per diem per day, per job. If a day is already claimed, the grid shows what is on it rather than letting you claim it twice.
The amounts
Normally you do not type them: the rate set says what each meal is worth, and ticking the meal is the whole claim. Some productions open the amounts so a day can be settled against receipts instead — then an Amount per meal section appears above the grid. See Per Diem for what sits behind the figures.
A per diem has no clock times, so its row shows the meals claimed instead of hours, marked with — see what does the status icons mean?
What does the status icons mean?
General icons:
- Active job — provides a shortcut to your dashboard.
- On the Clock — you are clocked in.
- Job entry — represents recorded hours for a job.
- Per diem — a day claimed for meals rather than hours. The row shows the meals in place of clock times, shortened to Br, Lu, Di where there is no width for the words. See How do I claim a per diem?
On a payment line:
- Worked out by the processor from the day's hours and overrides.
- Taken from a rate set — the amount the per diem was claimed under.
- Initials instead of an icon mean a person typed that line in, rather than a calculation producing it.
Entries in a production will also have these icons:
- Approved — entry has been approved.
- Rejected — entry was rejected.
- Adjusted — sent, rejected, then corrected for new review.
- In progress — entry is being reviewed.
- Sent — submitted, awaiting review.
- Not sent — entry has not been submitted yet.
How do I export a timesheet report?
On the job page, mark the checkboxes next to the entries (workdays) you want in the report — or use the checkbox in the table header to select all of them. At least one entry must be checked.
Then choose Export from the action dropdown. Three selects appear:
- Report — choose Timesheet.
- Format — the layout and columns the timesheet is written with. This includes the built-in formats (Default, Per diem) as well as any custom format you have saved.
- File type — choose PDF.
Some formats offer extra options, like hiding accounting details or showing a lunch deduction breakdown — these appear once a format supports them. Click the star to save your current Format and File type as the favorite for that company, so it's pre-selected next time.
Click the go button to generate the file, or check Preview in new window first if it's available for that file type.
Creating a custom timesheet format?
If none of the built-in timesheet formats (like Default or Per diem) have the columns you want, you can save your own:
- Go to Preferences and find the Report formats card.
- Click New timesheet, then either:
- Empty format — start from scratch, or
- Copy a built-in — start from an existing one and tweak just the columns you need to change.
- Give it a name and choose its columns, options, header, and file type, then save.
It will now show up in the Format select when you export a job. A saved format can later be edited, duplicated, or deleted from the same card.
What does "Not a salary recipient" mean?
Check this if you invoice the company from your own business instead of drawing a salary or if you only are here to gain admin access to a production or company. Leave it unchecked if the company pays you a salary through Turnover, which is the usual case.
